WALGROOVY GATHERING - 101

A Walgroovy Gathering is a parent-sponsored party or event that is both fun and raises money for our school.

Each gathering has a different theme and is usually held at someone’s home.  Previous themes have included a Kids Hip Hop Dance Party (family), Poker Night (adults only), Kids Movie Night (drop-off), Tacos & Tequila (adults only), Mom’s Pamper Party (moms), Ginger Bread House Making and Valentines Day Crafts/Cookie Decorating (kids).

The host(s) of the gathering is responsible for paying for the event.  We try and keep the cost down by having multiple hosts to split expenses.  These gatherings don’t have to be expensive.  A movie night for instance, can be as simple as renting a kid’s movie and buying some popcorn or treats.   A more extravagant gathering would be our wine tasting event.   Last year our host held it at her house and was able to get a sommelier from Lincoln Fine Wines to donate his time and conduct wine tastings. To top it off, the hosts made incredible homemade pizza!

Tickets are sold to each gathering at a price based on the type of event.  The host decides the minimum and maximum number of guests and the age requirement.

All the money from the tickets sales goes straight to Friends of Walgrove to help fund programs at our school; 100% to our kids. This is how we are able to do some of the important and amazing educational activities such as Studio and Council.

THINGS YOU’LL NEED TO KNOW AS A WALGROOVY GATHERING HOST

Tickets to all the Walgroovy Gatherings will be sold at the Parent FriendRaiser, our Auction Party, at school or you can contact the Walgroovy co-chairs or individual Walgroovy hosts.  You are not responsible for selling tickets.   That doesn’t mean you can’t sell tickets if you want to!

If you are collecting money, all checks should be made out to “Friends of Walgrove” and put in FOW box in the front office.  Please make sure people note on their checks which gathering they are paying for and the names of the people being paid for with that check.  Some of our parents have different last names than their kids and this helps with accounting and hosting.

Once your gathering has been established and tickets have been sold, you will be given a list with names and email addresses of all the people that have purchased tickets to your event.   A few weeks prior to your gathering, you’ll send out an evite to all the people who bought tickets.  This serves as a reminder to the guests and also gives you an idea of the actual head count once everyone RSVP’s.  You may also send an evite to those you think may be interested but have not purchased tickets.  You may invite people outside of Walgrove; that is at the discretion of you and your co-hosts.  The more tickets sold, the better!  If we can raise funds outside of the school crowd, better yet!!

Throwing a Walgroovy Gathering is really fun!  It’s a great way to get involved with our school and meet new friends.  Your kids will love it too!

If you would like to host a Walgroovy Gathering and/or have any new party ideas, please let our Walgroovy Co-Chairs know.

Thank you; hope to see you at the Walgroovy Gatherings!
